W12 – Meeting Structures haveChanged with the Advent of Video Conferencing

( United Kingdom - In the past if you wanted to have a meeting, you had to go and meet them in person. The value of meeting face to face is invaluable as it gives you the personal touch and helps you build a business relationship. The difficulty though is that it involves travelling which often is not convenient.

Now with advances in technology, you are able to video conference as well. Video conferencing technology is available in most meeting rooms so those that are able to can still meet in person while you can video conference with those that can’t. The benefits of video conferencing are huge as demonstrated by Polycom in a recent study they have done. 90% of those who regularly use video conferencing experience a higher productivity and improved teamwork as well as financial savings according to the study.Many of the respondents listed saving time as the key benefit to video conferencing.

Despite the benefits of video conferencing, there is a lot of hesitation. Rob Bamforth, Principal Analyst at Quocirca, a research company, said that “Much of the thinking that video conferencing [equipment] is hard to use is based on a combination of perceptions from older hardware (which was harder to use) and mostly a lack in confidence stemming from infrequent use. It has almost been self-fulfilling. These perceptions are more prevalent in those who have been working for some time and have perhaps experienced the older systems." He went on to say, “Unfortunately the potentially more tech-receptive digital natives, despite being frequent consumer users of video, are often excluded from regular business use when organisations have only deployed it for senior staff. Regular use, by all levels and in all locations is a much more healthy usage paradigm for video, just like it was for the fixed and mobile phones before."

Many younger workers utilise video conferencing with the survey finding 45% of end users will regularly use their mobile devices such as laptops, tablets and mobile phones. The problem with this though is that the quality tends to be poor.

Tony Steadman from W12 Conference, an events venue where you can hire meeting rooms in London, said that “Face-to-face meetings are hugely valuable as they add the personal touch which enables you to build trust which is so important in business.” He went on to say that, “Getting everyone in the same place at the same time due to people’s busy work schedules can be difficult and so hiring a meeting room with video conference capabilities is a sensible solution.”
